Schedule when customers can register for your events
Create your activity once, and then set the days and times when customers can book tickets. Work with individual availability or a weekly recurring schedule, without having to rebuild the activity from scratch each time.
Make public events bookable at the right times
Do you offer guided tours, lectures, or museum visits that visitors can sign up for individually? With Eguide, you can set up the activity once and decide when customers can book tickets.
You set in advance the days and times when the activity is available and how many spots are available. As soon as the first customer books an available time slot, the specific event is created in Eguide.
Visitors will only see the available options on your website and can book their tickets directly. This means you don't have to create future event dates one by one as separate events in advance.
Do you also organize guided tours exclusively for a single group or company upon request? If so, find out how to manage private group bookings and private tours .

Create the activity once
For each activity, you enter the information that remains the same for every registration. This includes the title, the city, the meeting point, the duration, and the languages in which the activity is offered.
Next, you configure availability: the days and time slots during which customers can book tickets. This means you don't have to create each future event individually in advance.
A specific event time is created when the first booking for that time is received. From that point on, you can track that time and the associated participants through Eguide.
Follow a set weekly schedule without duplicating work
Does the same activity take place every week? If so, you can set the availability according to a weekly recurring pattern.
For example, this allows you to offer the same city walking tour every Saturday afternoon without having to manually re-enter the date each time.
For non-standard or one-time periods, adjust the availability separately. The regular activity itself remains unchanged.
See how your event offerings can be made bookable
Together, we'll set the availability for an activity from your own offerings.
Determine how many spots you'll offer per activity
For each activity, you specify the maximum number of participants. You can also set a limit on the number of tickets a single customer can purchase in a single order.
This prevents a single order from taking up all available seats at once, while still allowing the event's total capacity to be fully utilized.
When tickets are sold or reserved, the number of available seats decreases. As a result, customers cannot select more tickets than are currently available.
Further sales and follow-up are handled through the same scheduling system. There, you can sell tickets, view participants, and manage registrations for each event.
Publish the activity when everything is ready
A new activity doesn't have to be immediately visible to customers. You can first prepare the information, times, prices, and capacity, and then activate the event.
When selling tickets online, you also decide how far in advance customers can still order tickets. This prevents new registrations from coming in right before the event starts, when your organization may not be able to process them in time.
Customers can then access the activity via a direct link or a ticket widget on your website.

Keep track of upcoming and past events in an organized way
In the schedule overview, you can see the event times for which there are bookings, with upcoming and past events listed separately. For each event, the date, location, languages, and capacity are immediately visible.
This way, your team won't have to switch back and forth between different calendars, participant lists, and sales reports to see what's planned.
You can filter the list by date, city, language, status, and other criteria. This makes it easier to quickly find the activities that require your attention today or to prepare for the coming period.
Add a guide only when necessary
An event doesn't always have to be led by a guide. So you can also use Eguide for activities where customers simply reserve a ticket or a spot.
If a guide is needed, you can take the language and location of the event into account when planning. You can then look for a guide who is a good fit for the assignment and the required language.
This way, the same event plan can be used for both guided tours and self-guided activities.
