View your schedule on the correct time scale

To prepare for today, you'll need a different overview than the one you use for planning the coming month.

The daily view shows you which bookings are scheduled close together and what your team needs to keep in mind for that day. The weekly view helps you see peak times and quieter days side by side. The monthly view lets you look further ahead and spot in advance when multiple busy periods overlap.

You can switch between these views without having to create a separate schedule each time. Use the "Previous" and "Next" navigation buttons to quickly jump to a different day, week, or month.

The dashboard shows which broader trends within your operations require attention. The calendar then shows when the relevant bookings are scheduled.

See which bookings overlap

A long list of bookings tells you which cases exist, but not always how they’re spread out over your days and weeks.

The calendar lists scheduled bookings by their date. This makes it easier to see when different tours start around the same time or when multiple groups need to be prepared on the same day.

In guide-based planning views, the booking status may also be displayed. This allows dispatch to see not only when the booking takes place, but also whether, for example, the file still needs to be validated.

Open the full booking if you need more context

The calendar is intentionally kept as an overview. As soon as you need customer information, group assignments, locations, guides, or financial tracking, open the full booking file.

Here's how to use the calendar to identify patterns and bottlenecks without having to show all the details in the schedule at once.

View your schedule the way your team uses it every day

Together, we're getting through a busy day, week, and month.

Start a new reservation based on available dates

If a request is received by phone or email, a staff member can create a booking directly in Eguide.

To do this, use a weekly overview in which tours are listed opposite seven dates. Times when a tour can be booked are available for selection. Unavailable combinations remain grayed out.

You can find the right tour and date more quickly by changing the week, filtering by city, or searching the listings.

The available times are based on the days, hours, and capacity you set earlier.

Check your selection before filling out the form

After selecting a tour and a date, you'll first see the key details, such as the title, city, duration, and starting price.

When you confirm, the booking form will open with the selected tour and date already filled in. Your team can then add the customer, groups, languages, and any additional arrangements.

This way, you don't have to start a new request from scratch, and you reduce the chance that an employee will accidentally select an unavailable date.

Use the calendar as an overview, not as an automatic planner

The calendar helps you see where bookings overlap. It does not automatically make operational decisions for your team.

For example, a bookable time slot does not mean that a suitable guide is guaranteed to be available. Public availability takes into account the scheduled time slots and capacity, but the final guide assignment is subject to separate review.

After selecting a date, you can search for guides who match the tour, language, and location.

Evaluate warnings in their context

If a guide already has another assignment scheduled for the same day, Eguide can flag this during the planning process.

A warning like this is informative. It does not automatically block the selection, because sometimes two commands can indeed be combined.

So your team retains the final decision-making authority, but has more context before a new request is submitted.

Move from planning to concrete follow-up

A calendar shows when something happens. Notifications, on the other hand, show what has changed recently, such as a guide accepting an assignment or a client responding to a proposal.

From the reports and recent activity, you can go directly to the relevant file. In the calendar, you can then see where that entry fits into the upcoming schedule.

This way, the overview, schedule, and daily follow-up complement each other without displaying the same information three times.

Can I view the schedule by day, week, and month?

Yes. You can switch between different time scales depending on whether you want to review performance for a single day, the upcoming workweek, or a broader monthly period.

You can also navigate to a previous or next period.

Can I see the status of reservations in the calendar?

In guide-oriented planning views, the booking status be visible.

This way, during the planning process, the dispatch team can see not only when the booking takes place, but also what operational phase the case is in.

Can I create a new reservation from the schedule?

Yes. Using the weekly calendar, select a tour and a date when it is available.

Once confirmed, the booking form will open with that tour and date already filled in, after which you'll add the customer and group details.

Can I open the entire reservation from the calendar?

Yes. From the schedule, you can proceed to the corresponding booking record.

There you'll find, among other things, customers, groups, locations, guides, and financial tracking.

Does the calendar automatically check to see if a guide is available?

No. An available date for a private tour does not automatically guarantee that a suitable guide is available.

Your team evaluates the Guide Scheduling separately. Any warnings regarding other tasks are for informational purposes only and do not automatically block the selection.
